AI voicemail · A practical starting point

A better message. A clearer next step.

What happens when you cannot answer the phone? I help you plan an AI voicemail flow that asks useful questions and sends your team a clear callback summary. You can return the call knowing what the person needs.

Example only · Fictional caller

One question at a time.

The aim is a usable message, not an AI trying to run the business. This written example is not a live phone demo.

The person gets the handoff.

Name, callback number, need, area, and preferred callback time arrive in one agreed inbox. A team member takes it from there.

After-hours message example
Business assistant

Hi, I’m the business’s AI message assistant. I can take a message for the owner. Before we start, here’s how this call is handled.

The actual disclosure and consent wording must be reviewed for the chosen recording, transcription, and retention setup.
After the caller agrees

What can we help you with?

Caller

I need an estimate for a small repair at my place in South Salem.

Business assistant

I can pass that along. What name should I put on the message?

The assistant asks for the callback number and preferred time, then confirms the details.

Business assistant

I’ll pass your message to the owner. They’ll need to confirm the work, timing, and price with you.

AI Voicemail Setup

A conversational message taker for one business line, with a useful callback summary.

$2,500one timeSubject to written scope

What you get

  • Map one after-hours or unanswered-call path, with an agreed greeting, AI disclosure, consent approach, and fallback to the existing phone service.
  • Collect up to five agreed details, such as name, callback number, service, location, and preferred callback time. Ask one question at a time.
  • Answer up to 10 owner-approved basic questions, such as hours or service area. Unknown answers go to a person, not a guess.
  • Send a structured message summary to one authorized email destination. CRM integration is separate unless listed in the quote.
  • Run at least 15 agreed test scenarios, including incomplete details, caller corrections, silence, human requests, failed delivery, and fallback.
  • Provide the script, field list, test record, usage-cost estimate, access list, and shutoff instructions. Include a 45-minute staff handoff and a 14-day review.
  • Correct in-scope setup defects reported within 30 days of acceptance. Confirm the whole call-to-message path before live cutover.
How we judge the work

Successful message delivery, usable callback details, missed summaries, and time to human follow-up. Taking a message is not the same as winning the job.

AI Voicemail Care

Scheduled checks and small corrections for the installed voicemail flow.

$350per month + usageSubject to written scope

What you get

  • One monthly end-to-end test of the supported call path and summary delivery.
  • Review available delivery alerts and a small approved sample of summaries for missing or incorrect fields.
  • A short status and usage report; one hour of total technical work and 30 minutes of coordination, including checks, reporting, and corrections.
  • Minor script or routing corrections up to 30 minutes within that technical hour. Larger changes need a written quote.
How we judge the work

Documented tests, delivery failures, corrections, and usage. If the business requires immediate recovery, it needs a different support arrangement.

BEFORE LAUNCH

Test the whole path.

A good transcript is not enough. The call, summary, delivery, permissions, and fallback all need to work together.

WHEN IT ISN’T SURE

Leave the decision to a person.

No guessed prices, promised arrival times, payment collection, or advice outside the approved questions.

IF SOMETHING FAILS

Keep a way back.

Document how to disable the AI route and return to ordinary voicemail. The business always needs a human callback owner.

Know the limits

Before a real caller uses it.
